1. Overview & Scope
This Privacy Policy explains how Magic Tilt Trailers, Inc. ("Magic Tilt," "we," "us," or "our") collects, uses, shares, and protects information in connection with the Magic Tilt Dealer Portal (the "Portal") available at portal.magictilt.com.
The Portal is a business-to-business platform for Magic Tilt's authorized dealers and their designated team members. It is not directed to consumers or the general public. This policy applies only to the Portal; information you provide on our public website, magictilt.com, is governed by the privacy and cookie policies published there.
By accessing or using the Portal, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Portal.
2. Information We Collect
We collect the following categories of information in connection with the Portal:
- Account & identity information
- Your name, business email address, username, password (stored in hashed form), phone number, job title or role, and the dealer account you are associated with.
- Company & dealership information
- Dealership name, customer/account number, billing and shipping addresses, contact details, tax and resale certificate information, and team-member roles and permissions.
- Transaction & order information
- Orders, quotes, parts carts, invoices, payment history, account balances and aging, order tracking and shipment details, warranty and service claims, axle and product configurations, and related documents and attachments you upload.
- Payment information
- When you pay an invoice or place an order, payment details (such as card or bank-account information) are collected and processed by our third-party payment processor. See Section 7.
- Usage & device information
- Information about how you interact with the Portal — pages and features used, search queries, clicks, session activity, timestamps, sign-in events, IP address, browser and device type, and approximate location derived from your IP address.
- Communications
- Messages, feedback, support requests, and notification preferences you submit through the Portal.
We do not knowingly collect sensitive personal information (such as government identifiers, health, or biometric data) through the Portal, and we ask that you not submit it.
3. How We Collect It
- Directly from you — when you register, sign in, update your profile, place orders, submit forms, upload documents, or contact us.
- Automatically — through cookies, local storage, session tokens, and analytics technologies when you use the Portal (see Section 5).
- From our business systems — order, invoice, pricing, and account records are drawn from Magic Tilt's enterprise resource planning (ERP) and related internal systems to display your dealership's information in the Portal.
4. How We Use Information
We use the information we collect for legitimate business purposes, including to:
- Provide, operate, and maintain the Portal and your account;
- Authenticate users and manage roles, permissions, and team access;
- Process and fulfill orders, quotes, payments, invoices, and warranty/service requests;
- Display your dealership's account, order, and billing information;
- Provide customer and technical support and respond to your requests;
- Maintain the security and integrity of the Portal, prevent fraud, and investigate misuse;
- Monitor, troubleshoot, analyze, and improve Portal performance, usability, and features;
- Send transactional and account-related communications and, where you have opted in, other notifications;
- Comply with our legal obligations and enforce our Terms of Use.
Information collected through the Portal is first-party operational data. We do not sell your information, and we do not share it for third-party cross-context behavioral advertising.
7. Payment Information
Payments made through the Portal (credit/debit card and ACH bank transfers) are processed by our third-party payment processor. Your full payment card or bank-account number is transmitted to and handled by that processor under its own security and privacy practices. Magic Tilt does not store full payment card numbers, card security codes (CVV), or full bank account or routing numbers on the Portal. We retain only limited payment records — such as a tokenized reference, masked card or account details, the processor's transaction reference, and the status, amount, and date — to process orders, reconcile payments, and provide support.
8. Data Retention
We keep information for as long as it is needed for the purposes described in this policy. In general, we retain information while it is needed for the active dealer relationship and afterward as needed for accounting, tax, warranty, security, fraud prevention, legal obligations, audits, and dispute resolution. How long a particular record is kept depends on its category and the applicable legal and business requirements:
- Account & profile information
- Retained while your account is active and as needed to administer the dealer relationship.
- Orders, invoices, payments & tax records
- Retained as needed for order fulfillment, accounting, reconciliation, and applicable tax and recordkeeping obligations.
- Warranty & service records
- Retained as needed to administer warranty and service claims and related obligations.
- Uploaded documents
- Retained as needed to support the orders, claims, or requests they relate to.
- Security & audit logs
- Retained as needed to secure the Portal, investigate misuse, and meet security and audit requirements.
- SMS consent & opt-out records
- Retained as needed to honor your messaging preferences and to demonstrate consent and opt-out handling.
- Analytics
- Anonymous usage information retained for a defined period to help us understand and improve the Portal.
When information is no longer needed, we take reasonable steps to delete or de-identify it.
9. Data Security
We use administrative, technical, and physical safeguards designed to protect information in the Portal, including encrypted (HTTPS) connections, hashed passwords, session-based authentication with automatic expiry, role-based access controls, and activity logging. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your credentials confidential — see the Terms of Use.
10. Your Choices & Rights
- Access & update: You can review and update much of your account and company information directly in the Portal, or by contacting us.
- Communications: You can manage notification preferences in your account. Transactional and account-security messages are necessary to provide the service and cannot be turned off. Any SMS messaging is governed by our SMS Terms & Conditions.
- Privacy requests: Depending on your jurisdiction, you may have rights to access, correct, or request deletion of certain personal information, or to appeal a decision about your request. To submit a request, contact our privacy contact at privacy@magictilt.com. To protect your information, we will take reasonable steps to verify your identity before responding, and for requests involving a dealer business account we may also verify that you are authorized to act on behalf of that account. An authorized agent may submit a request on your behalf if they provide proof of authorization and we can verify your identity. Some information must remain retained even after a request — for example, records we are required or permitted to keep for payment, tax, warranty, fraud-prevention, security, audit, legal, or dispute-resolution purposes. If we decline a request, you may appeal by replying to our response or contacting us again at the address above. Response timing depends on, and will follow, applicable law.
11. Authorized Users & Account Administrators
The Portal is a shared business tool. Information you enter is associated with your dealer account, and your dealership's administrators and authorized team members may be able to view account, order, billing, and certain activity information. Magic Tilt personnel may also access this information to operate the Portal and support your dealership. Do not use the Portal to store personal information that is not appropriate for this business context, and do not share login credentials between users.
12. Third-Party Services & Links
The Portal may link to or integrate third-party services (for example, embedded videos, document viewers, mapping, or tire/product registration forms). Information you submit directly to a third party is governed by that party's privacy practices, not this policy. We encourage you to review the privacy policies of any third-party services you use.
The Portal is intended only for authorized business users who are at least 18 years old. We do not knowingly collect personal information from anyone under 18.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Minor updates take effect when we post them and revise the "Last Updated" date above. For material updates, we will provide additional notice within the Portal and/or by email to account administrators. Major legal or privacy changes may require you to review and acknowledge the updated policy before you continue using the Portal; the Portal records the version of this policy that each user has accepted. Your continued use of the Portal after an update takes effect means you accept the revised policy.
14. Security Incident Reporting
If you believe your Portal account has been accessed without authorization, contact Magic Tilt immediately through the support contact listed in the Portal and change your password. Magic Tilt may suspend access or take other steps to protect the account, dealer information, and Portal.
